Onboarding remote and hybrid employees requires a different approach. These eight practices will help your new starters hit the ground running from anywhere.

Why virtual onboarding demands deliberate design

In a physical office, a significant portion of onboarding happens informally: observing how things work, joining spontaneous conversations, picking up cultural norms by proximity. None of this is available to a remote new starter. Virtual onboarding must recreate these experiences intentionally through structured introductions, frequent check-ins, and a well-documented cultural guide. Without this deliberate design, remote new starters often feel disconnected and underperform in their first 90 days.

Best practices 1-4: the setup

Ship equipment early and ensure it arrives fully configured, not requiring the new starter to spend day one on hold with IT support. Assign a remote-friendly buddy from a different team before the start date, and brief the buddy on their responsibilities. Schedule video calls rather than relying on async messages for key introductions in the first week. Provide a written cultural guide covering unwritten norms: how decisions are made, which communication channels are used for what, how to raise a concern.

Best practices 5-8: integration and belonging

Create deliberate social touchpoints: a virtual team lunch, a coffee-roulette pairing with someone from another department, or a 'meet the team' session. Use a structured 30-60-90 day plan with specific goals at each milestone, reviewed in a weekly one-on-one with the manager. Run a check-in survey at 30 days asking about the onboarding experience, and act on the results before the next cohort starts. Invite the new starter to join at least one in-person team event within their first 90 days, even if they are primarily remote.
