What exactly happens on go-live day?
We execute a controlled cutover runbook step by step, with clear ownership and checkpoints. That covers the final data load and reconciliation, access and single sign-on checks, integration verification and spot data checks, so launch day is a planned event rather than a leap of faith.
How long does hypercare last?
Hypercare typically runs for the first few weeks after go-live, when questions peak and adoption is being won. It then transitions smoothly into managed support, with a formal 30-day checkpoint that reviews the numbers before moving you to steady-state.
Is go-live support included in the price?
Yes. A managed cutover and intensive hypercare are part of Grouper's white-glove engagement, included at the same subscription price as acquiring your BambooHR licences direct from Utah. You are not charged extra for the most critical phase of the project.
What is a cutover runbook and do we get to see it?
The runbook is the detailed, sequenced plan for launch: every task, who owns it, the order it runs in and the checkpoints along the way. We agree it with you in advance so there are no surprises, and everyone knows their part on the day.
What happens if something goes wrong during cutover?
The runbook includes a clear rollback position, so if a checkpoint is not met we can pause or revert in a controlled way rather than improvise. In practice careful preparation, final data validation and access checks mean most issues are caught before they affect users.
Who needs to be available during go-live and hypercare?
We ask for a small core team on your side, usually HR administrators and an IT contact for access and integrations, alongside your Grouper consultant and specialists. During hypercare, managers and champions help field everyday questions so the load stays manageable.
How do you protect data during the final migration?
The final data load is validated and reconciled before sign-off, and personal data is handled with encryption and least-privilege access throughout, in line with GDPR. We confirm records, access and integrations are correct before we declare go-live complete.
How is a successful go-live measured?
We agree early adoption targets up front, such as the share of employees logged in within the first days and integrations running cleanly. The 30-day checkpoint reviews these numbers formally, so success is evidenced rather than assumed.
How does go-live connect to what came before and after?
Go-live is the culmination of solution design, implementation, data migration and training, and the runbook draws directly on that work. Once hypercare ends, you move to managed support with a named European team, so there is no gap in cover.
Can you run a parallel period before we fully switch over?
Where it reduces risk, yes. We can verify data and integrations against a sample delta in a sandbox before go-live, and for some processes run a short parallel period so you gain confidence before retiring the old way of working.
Do you support go-live across multiple time zones and countries?
Yes. With consultants across Dublin, Belfast, London, Dubai and Kuwait, we schedule cutover and hypercare to suit your locations and working hours. For multi-entity rollouts we can phase go-live by site rather than switching everyone at once.
